Peakly vs Managing School Email Yourself: Filters, Labels and AI

You do not need to pay for anything to get on top of school email. Gmail filters and Outlook rules can put school mail in its own folder, phone notifications can make it stand out, and a weekly routine can catch what slipped through. Plenty of organised families run exactly that system.

So when is an AI assistant like Peakly worth it? This article compares the two approaches honestly, including when the free approach is all you need.

The do-it-yourself approach

  1. Create a filter or rule that sends mail from the school’s address or domain to a School label or folder.
  2. Add filters for each club, lesson and activity that emails you.
  3. Turn on phone notifications for that label or folder only.
  4. Read each school email when it arrives, and move dates into a shared calendar.
  5. Do a weekly review on Sunday evening for anything you missed.

It costs nothing, it is entirely in your control, and it works. Our guide to never missing school emails walks through it step by step.

Where the do-it-yourself approach strains

Filters sort email; they do not read it. They can tell you an email is from the school, but not that the fourth paragraph of the newsletter says Year 3’s trip money is due on Friday. Someone still has to read every email carefully, work out which child it is about, and type the dates into a calendar.

That is fine with one child and a few emails a week. It gets harder with several children, several schools, clubs that change times, and weeks when nobody has the time to read a long newsletter properly. Generic email tools that summarise or prioritise mail can help, but they are not built for school email: they do not know your children’s year groups or put dates in your calendar.

What Peakly does differently

  • It reads every email from your school and club addresses, including long newsletters and their attachments where they can be read.
  • It works out which child each email is about, using their school and year group, and leaves out what does not apply.
  • It sends a short WhatsApp message for each email that has something in it for you, with a link to the original.
  • It adds the dates to your Google or Outlook calendar, moves them when the school sends a correction, and merges several emails about the same day.
  • It adds your school’s term dates where it has them, and sends an evening summary of tomorrow at 8pm.

Privacy, side by side

With filters, nothing leaves your mailbox. With Peakly, you give read-only access to the email account your school writes to. Peakly looks only at mail from the addresses you give it, cannot send, move or delete anything, and does not store the email text: emails are read, the dates are taken out, and the email itself is not kept. You can disconnect at any time from your Google or Microsoft account settings.

Cost and effort

  • Do it yourself: free, about half an hour to set up, then a few minutes per email and a weekly review.
  • Peakly: from £3.99 a month after a 7-day free trial, a few minutes to set up, then no reading or typing unless you want to.

Which is right for you

If you have one child, your school sends a few emails a week, and you enjoy being organised, filters and a calendar are probably all you need. If you have several children or schools, clubs and activities on top, or simply not enough time in the week to read every newsletter, Peakly takes over the part of the system that relies on someone having time. Many families start with filters and add Peakly when the volume gets too much.

Questions to ask yourself

  • How many school and club emails arrive in a typical week, across all your children?
  • In the last month, did you miss anything: a deadline, a dress-up day, an early finish?
  • Who in your family reads school email, and do they have time to read newsletters properly?
  • Are your children’s dates already in a shared calendar, and is it up to date?

If the answers are "a few", "no", "someone with time" and "yes", the free approach is working, and you do not need to change it. If any of them make you wince, that is the gap Peakly is built for.

Questions parents ask

Can I use Peakly and my own filters together?

Yes. Peakly does not change your mailbox, so your labels, folders and rules keep working as before.

Does Peakly read attachments?

Peakly reads school letters attached as PDFs where the text can be read, as well as the email itself.

What happens if I stop using Peakly?

You can cancel your plan at any time, revoke Peakly’s access from your Google or Microsoft account settings, and delete your account in Settings.
